While NotebookLM supports collaboration and public sharing, several key limitations exist depending on your account type and the nature of the notebook:
- Account & Organization Restrictions
- Workspace vs. Consumer Accounts: Personal Gmail accounts can share notebooks publicly via a link, but this feature is currently disabled for Workspace Enterprise and Education accounts.
- Internal-Only Sharing: Enterprise users are often restricted to sharing only with other users within the same Google Cloud project or organization.
- Account Requirements: Viewers must have a Google account to access shared or public notebooks; there is no “anonymous” viewing without a login.
- Education Access: In some regions (e.g., Hwb in Wales), students may be unable to open NotebookLM files shared by teachers, even if the teacher can attach them to assignments.
- User & Collaboration Limits
- Collaborator Cap: Personal accounts can share a single notebook with up to 50 individual users.
- Google Groups: Personal Gmail accounts cannot share with Google Groups, whereas Enterprise/Education accounts can share with an unlimited number of individual users and internal Google Groups.
- Ownership: You cannot transfer ownership of a notebook once it is created.
- Editor Restrictions: While editors can add or remove sources, they cannot delete the notebook or revoke access for other users.
- Source & Content Limitations
- Source Limits: Shared notebooks retain individual source limits. A shared user can add up to 50 sources, but the notebook itself is tied to the owner’s total account capacity, such as 100 notebooks for free users.
- Restricted Sources: Notebooks containing sources from Gemini Enterprise search results cannot be shared.
- Copy-Protected Files: PDFs that are copy-protected cannot be imported or shared.
- Sync Issues: Shared editors must have “Editor” permissions on the original Google Doc in Drive to resync it within the notebook; otherwise, changes will not update.
- Technical Hurdles
- Directory Discovery: NotebookLM does not always search your entire domain directory. A prior sharing relationship, such as a shared file in Google Drive, with a user may be needed before they appear in the NotebookLM sharing suggestions.
- Ad-Blockers: Some ad-blocking extensions can cause the “Share” button to disappear.
